Overview

The Jefferson Scholars Foundation ("JSF"), located at 112 Clarke Court, Charlottesville, VA 22903, is sensitive to privacy issues on the Internet and committed to protecting the privacy of its constituents. We believe it is important that you understand how we treat the information you may provide to us. This privacy statement applies to information collected by the websites JSF manages and controls, including but not limited to, *.jeffersonscholars.org and jeffersonscholars.virginia.edu, (collectively the "JSF websites") and through the services we provide (collectively, the JSF websites and the services JSF provides are the "Services").

Our legitimate course of business relies on collecting and processing personal and non-personal information from constituents in an efficient manner. Our primary purpose of data collection is to allow our constituents to stay connected and informed, participate in our selection processes, improve services and opportunities, and fulfill our mission to the University of Virginia.

Confidentiality Statement

Digitial information, including data from web application and correspondence, e-mail messages, and other correspondence, including any attachments, are intended only for the use of the individual or entity to whom they are addressed. Information contained therein may be privileged and/or confidential. If you are not the intended recipient or the employee or agent responsible for delivering our communication to the intended recipient, please notify us immediately. Any use, dissemination, distribution and/or reproduction of JSF emails, attachments, or other digital content without express consent of the Jefferson Scholars Foundation by unintended recipients is unauthorized and may be unlawful.

Site Accessibility

JSF strives for a website with an accessible design that functions for as many people as possible. Standards from Section 508 Electronic and Information Technology Accessibility Standards address accessibility for people who have visual, hearing, motor or speech disabilities. Although we seek to comply with these standards, if JSF websites are not accessible for any reason, contact JSF to request an accessible format. Data Collection

Information You Provide Directly to Us. We collect and store any information you give us. This includes identifying information, including your first and last name, postal and email addresses, telephone number(s), and information related to our selection processes. From time to time, JSF may request information from constituents via surveys, and we will collect any information that you provide to use through surveys.

If you choose to donate to the JSF, we will also collect information relating to your donation, including name, address, donation details, and billing information. Donations are made through the University of Virginia's online donation system, but we will receive some information (though not payment card details) from that system in order to facilitate your donation. Information We Collect from Third Parties. We also may obtain other types of information about you from third parties. For example, we may receive information from the University of Virginia, such as updated contact information, degree records, and giving history. We may also collect information about you from referral sources or references (for example, if a teacher nominates you for a scholarship, we will receive certain information about you from your teacher), publicly available resources (such as reviewing a publicly available LinkedIn page to evaluate you for a scholarship), or from other sources (such as volunteers, alumni, and mentoring services).

Information We Collect Automatically. We also automatically collect information about your computer when you visit the JSF websites or interact with the Services. This information may include IP address, Web browser information. operating system, mobile device carrier information, the state or country from which you accessed the Services;referring and exit web pages and URLs, platform type, the number of clicks, pages and content viewed and the order of those pages, statistical information about the use of the JSF websites, the amount of time spent on particular pages, the date and time you used the Services, the frequency of your use of the Services, error logs, and other similar information. As described further below, we may use third-party analytics providers and technologies, including cookies and similar tools, to assist in collecting this information.

We and our service providers collect data about your use of the Services through the use of Internet server logs, cookies, tracking pixels, and/or other tracking technologies. A web server log is a file where website activity is stored. A cookie is a small text file that is placed on your computer when you visit a website that enables us to: (a) recognize your computer; (b) store your preferences and settings; (c) understand the web pages of the Services you have visited; (d) perform searches and analytics; and (e) assist with security administrative functions. You do not have a statutory or contractual obligation to provide us with your information through our website; however, certain information may be required in order to enter into a contract with us . For example, participation in our processes and events requires we collect some information about you in order to maintain communications throughout the process.

Notice Concerning Do Not Track Signals

Do Not Track ("DNT") is a privacy preference that users can set in certain web browsers. We do not recognize or respond to browser-initiated DNT signals, as the Internet industry is currently still working toward defining exactly what DNT means, what it means to comply with DNT, and a common approach to responding to DNT.   • enforce applicable Terms of Service, Terms of Use, or other potential violation of JSF contracts or rules, including investigation of potential violations.

Data Use

The information collected is used for our nomination and application processing, volunteer support, JSF website administration and troubleshooting, general communications, donor stewardship, fundraising, event organization, historical record keeping, and alumni relations. We also use information to contact you with information or surveys that we believe may be of interest to you, for internal research and reporting, to provide the Services, to improve the content and features of the Services or develop new Services, and to enforce any legal terms in place between us.

Please note that we may combine information that we collect from you and about you (including automatically collected information) with information we obtain about you from third parties and use such combined information in accordance with this privacy statement. We may also aggregate and/or de-identify information collected through the Services. We may use de-identified and/or aggregated data for any purpose, including without limitation for research and marketing purposes, and may also share such data with any third parties, including advertisers, promotional partners, and/or others.

Data Sharing

We may disclose and/or share your information to or with third parties under the following circumstances:

  • JSF will share information with service providers, such as data management providers, customer relationship management services, and providers of surveys and mailings.
  • JSF will share information with the University of Virginia and affiliated entities as needed to provide the Services.
  • JSF will share information to third parties at your request.
  • JSF will share information as it reasonably believes necessary (a) to comply with legal process; (b) to enforce this Privacy Policy or other contracts with you, including investigation of potential violations thereof; (c) to respond to claims that any content violates the rights of third parties; and/or (d) to protect the rights, property, or personal safety of IPB Tax, its agents and affiliates, its users, and the public.
  • JSF will share information in the event of a re-organization or organizational transfer, such as an acquisition, merger, or partnership with other organizations. In such transactions, including in contemplation of such transactions (for example, due diligence), information may be among the disclosed or transferred assets.

Data Security

We have implemented administrative, technical, and physical security measures to protect against the loss, misuse, and/or alteration of your information. These safeguards vary based on the sensitivity of the information that we collect and store. However, we cannot and do not guarantee that these measures will prevent every unauthorized attempt to access, use, or disclose your information because despite our efforts, no Internet and/or other electronic transmissions can be completely secure. We urge you to take every precaution to protect yourself and your data when you are on the Internet. These precautions include using a unique password, changing your password periodically, using an updated browser over a secured network connection, and not storing passwords in easily accessible areas. You are responsible for keeping this password confidential and we ask you not to share passwords with any person not authorised to use JSF websites.

Data Retention

We retain your information for such period of time as needed for the purpose for which it was collected (e.g.,. the administration of active accounts, selection processes, and historical records of volunteers and awardees). We may also retain data as necessary to comply with our legal obligations, to resolve disputes, to enforce agreements, to support business operations, and to continue to develop and improve our Services and processing. Information may persist in copies made for backup and business continuity purposes for additional time.

Legal Basis for Processing Your Personal Data

The laws in some jurisdictions require companies to tell you about the legal ground(s) they rely on to use or disclose your personal data. To the extent those laws apply, our legal grounds for processing your personal data are as follows:

  • To Honor Our Contractual Commitments to You. Much of our processing of personal data is to meet our contractual obligations to you or to take steps at your request in anticipation of entering into a contract with you.
  • Legitimate Interests. Our legitimate interests include administering our Services, improving our Services, analyzing and researching our Services, and complying with organizational policies and procedures.
  • Legal Compliance. We need to use and disclose personal data in certain ways to comply with our legal obligations.
  • Consent. Where required by law, and in some other cases, we handle personal data on the basis of consent. Where we handle your personal data on the basis of consent, you have the right to withdraw your consent.

EU Data Subject Rights and Your Choices

Updating Your Information. All individuals who have accounts through a JSF website may review and update their personal contact information by logging in and selecting Menu and then "Manage your profile". We encourage you to review your information regularly to keep the information current. You may also write to foundation@jeffersonscholars.org to inquire about or update your information.

Changing Your Communications Settings. JSF may contact you by regarding your information, our selection processes, invitations to events, or in response to any contact you have made with us. If you no longer wish to receive communications from JSF, you may opt-out of receiving communication from us by logging into the JSF website and updating your profile. If you cannot log into the JSF website, you can request to remove yourself from all communications by contacting us at foundation@jeffersonscholars.org. Should you opt-out from our communications, we will withdraw you from JSF-related activities and no longer contact you until you tell us otherwise. We may continue to use your contact details for other purposes, like historical record keeping.

EU Data Subject Rights. Individuals in the European Economic Area and many other jurisdictions have certain legal rights to obtain confirmation of whether we hold personal data about them, to access personal data we hold about them, and to obtain its correction, update, amendment, or deletion in appropriate circumstances. Individuals in the European Economic Area may also have rights to object to our handling of their personal data, restrict our processing of their personal data, and to withdraw any consent provided. To exercise these rights, please email us at foundation@jeffersonscholars.org with the nature of your request. While we strongly encourage you to first raise any questions or concerns about your personal data with us, you also have a right to contact the relevant supervisory authority.

Please note that many of the rights described here are subject to significant limitations and exceptions under applicable law. For example, the right to erasure does not apply where personal data is needed for the establishment, exercise or defence of legal claims. Similarly objections to the processing of personal data, and withdrawals of consent, typically will not have retroactive effect). Prior to responding to any requests we may request that you provide us with additional information to confirm your identity. We will consider all requests and provide our response within the time period stated by applicable law.

International Transfers

If you are located outside the United States, your personal data will be processed in the United States and potentially other jurisdictions, which may not offer the same level of protection as the privacy laws of your jurisdiction. By using the Services, you acknowledge the processing of your data in the United States or elsewhere outside of your country of residence.

Children’s Privacy

Our Services are not targeted to individuals under the age of 13, nor do we target individuals under the age of 13. If we become aware that we have collected personal information (as defined by the Children’s Online Privacy Protection Act) from children under the age of 13, we will take reasonable steps to delete it as soon as practicable.
